01 General Terms
These Terms and Conditions govern all bookings, transactions, and services provided by Barakah Hajj & Umrah Travels ("the Company", "we", "us") to clients ("the Customer", "you") for Hajj and Umrah travel packages. By proceeding with a booking, you acknowledge that you have read, understood, and agreed to all terms herein.
Barakah Hajj & Umrah Travels operates as a licensed travel service agency based in Colombo, Sri Lanka. All packages are offered subject to availability and applicable Saudi government regulations.
02 Booking Policy
- All bookings must be confirmed in writing via email, WhatsApp, or our booking form.
- A non-refundable booking deposit of 30–50% of the total package price is required to secure your reservation.
- Bookings are not confirmed until the deposit has been received and acknowledged by the Company.
- The Company reserves the right to cancel an unconfirmed booking if payment is not received within 48 hours of the agreed deadline.
- It is the customer's responsibility to ensure all travel documents submitted are accurate, valid, and complete. The Company accepts no liability for bookings rejected due to incorrect or incomplete documents.
- Minors (under 18 years) must travel with a parent or legal guardian. Additional documents may be required for minors traveling under the guardianship of a non-parent.
03 Payment Policy
- All prices are quoted in Sri Lankan Rupees (LKR) unless otherwise stated.
- Full balance payment must be received no later than 14 days before the confirmed departure date.
- Payments can be made via bank transfer, cash at our Colombo office, or other approved methods. Customers should retain payment receipts as proof of transaction.
- Package prices listed on our website are starting prices and are subject to change based on travel dates, airline pricing, hotel availability, and currency fluctuations.
- The Company will provide a written price quotation before any payment is requested. Prices are locked in upon receipt of the full deposit.
- Any additional costs incurred due to changes requested by the customer after booking confirmation will be charged accordingly.
04 Cancellation Policy
Cancellations must be communicated in writing (WhatsApp or email) to the Company. The following cancellation charges apply:
30 days or more
Deposit forfeited + processing fees
15–29 days
50% of total package cost
7–14 days
75% of total package cost
Less than 7 days
100% non-refundable
Note: Airline tickets, visa fees, and hotel pre-payments are non-refundable regardless of cancellation timing, as these are governed by the respective third parties. The Company will deduct these amounts from any applicable refund.
05 Travel Document Responsibility
- It is the customer's sole responsibility to ensure their passport is valid for at least 6 months beyond the intended return date.
- Mandatory vaccination requirements (including meningitis ACYW135) must be fulfilled by the customer prior to travel.
- The Company assists with visa applications but cannot guarantee visa approval. Visa decisions rest entirely with the Saudi Arabian authorities.
- Any costs arising from document errors, expired documents, or failure to obtain required vaccinations shall be borne solely by the customer.
- Customers are responsible for ensuring their own travel insurance is adequate for their trip.
06 Package Changes & Modifications
- The Company reserves the right to make necessary adjustments to itineraries, hotels, flights, or services due to unforeseen circumstances, operational requirements, or force majeure events, including but not limited to weather, government restrictions, airline schedule changes, or safety concerns.
- Where significant changes are unavoidable, the Company will notify the customer as soon as possible and offer an equivalent alternative or a partial refund where applicable.
- Customer-requested changes to a confirmed booking may incur additional charges and are subject to availability.
- The Company is not liable for any personal expenses (shopping, tips, personal tours) incurred outside the agreed package.
07 Hotel & Transport Terms
- Hotels mentioned in packages are indicative. The Company reserves the right to substitute with an equivalent-category hotel if the named property becomes unavailable, without additional charge to the customer.
- Hotel room assignments, views, and specific floor requests cannot be guaranteed and are subject to hotel policy.
- Transport schedules are subject to change. Customers are expected to be punctual for all scheduled pickups and departures. The Company is not liable for missed transfers due to customer lateness.
- Any damage caused to hotel property or vehicles by the customer will be the customer's financial responsibility.
08 Visa Approval Disclaimer
Barakah Hajj & Umrah Travels provides visa application assistance as part of its service. However, visa approval is entirely at the discretion of the Kingdom of Saudi Arabia's immigration authorities. The Company makes no representation, warranty, or guarantee that a visa will be granted.
In the event of a visa rejection, the Company will attempt to assist with reapplication where possible. Non-refundable visa fees paid to Saudi authorities cannot be returned. Any partial refund of the Company's service charges will be assessed on a case-by-case basis.
09 Limitation of Liability
- The Company acts as an intermediary between customers and airlines, hotels, and ground operators. The Company's liability is limited to services directly provided by it.
- The Company is not liable for any injury, illness, loss, damage, or delay caused by third-party service providers, natural events, strikes, government actions, or other circumstances beyond its reasonable control.
- Travel insurance covering medical emergencies, trip cancellation, and personal loss is strongly recommended and is the customer's own responsibility to arrange.
10 Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of Sri Lanka. Any dispute arising from a booking or service shall be subject to the jurisdiction of the courts of Colombo, Sri Lanka.
